Google Business Profile Optimization: A Field-by-Field Walkthrough
Most Google Business Profiles are about sixty percent finished. The owner verified it, added a phone number and a couple of photos, and never came back. That is good news if you are willing to spend a few hours, because finishing the job properly is often enough to move past competitors who stopped halfway.
This walkthrough goes field by field, using a physiotherapy clinic in Ahmedabad as the running example. For how the profile fits into the wider picture of reviews, citations and local pages, read the local SEO guide.
Fields that affect where you appear
Business name
Use the name on your signboard, letterhead and GST registration. "Sharma Physiotherapy Clinic" is fine. "Sharma Physiotherapy Clinic - Best Back Pain Treatment Ahmedabad" is keyword stuffing, it is against Google's guidelines, and competitors can report it. Listings get suspended for this, and getting reinstated is slow.
Primary category
This is the single most important relevance setting you control. Search for your main service and look at the categories your top competitors use. Free browser extensions can reveal them, or you can sometimes see the category shown under the business name. The clinic should test "Physiotherapist" against "Physical therapy clinic" and choose the one that matches how patients search.
Secondary categories
Add a few that are genuinely true. A clinic that also runs a sports injury service can add a related category. Adding categories you do not really serve can confuse Google about what you are and lead to irrelevant calls.
Address or service area
Storefront businesses show their address. Businesses that visit customers, like home physiotherapy, can set a service area and hide the address. Keep the service area realistic. Listing an entire state does not make you rank across it.
Services and products
Add each service with a short description. "Post-surgery knee rehabilitation" and "Frozen shoulder treatment" are much more useful than a generic "Physiotherapy". These entries help Google match you to specific searches and help patients decide quickly.
Fields that help people choose you
Hours, including special hours
Set regular hours and update special hours for Diwali, Holi and other closures. Someone who drives to a closed clinic will leave a review about it.
Description
You get 750 characters. Say what you do, who you help and what makes you different, in plain language. Keywords here have limited ranking effect, so write for people.
Photos and videos
Upload real photos: the entrance from the street so people can find you, the treatment rooms, the team, equipment. Add new ones every month or two. Profiles with recent photos look active, and active businesses get more clicks.
Attributes
Wheelchair accessibility, online appointments, languages spoken, women-led and similar attributes appear on the profile and can match filtered searches. Tick everything that is true.
Booking and messaging links
If you take appointments online, add the booking link. If you turn on messaging, someone has to answer quickly. An unanswered chat is worse than no chat.
Reviews
Reviews influence both ranking and conversion. Three habits make the biggest difference:
- Ask consistently. Send a direct review link by WhatsApp after each completed treatment plan. You can get the short link from the profile dashboard.
- Reply to everything. Thank people by name for positive reviews. For negative ones, acknowledge the issue, avoid arguing in public, and offer to talk offline. Never share patient details in a reply.
- Do not game it. No paid reviews, no reviews from staff, no discounts in exchange for five stars. Google filters suspicious reviews and can restrict a profile that collects them.
Posts and Q&A
Posts let you publish offers, events and updates on the profile. Their direct ranking effect is debatable, and I would not expect posts alone to move you up. They do make the profile look maintained and give people a reason to click. One useful post a week or fortnight is a sensible pace.
The questions section is public and anyone can answer. Seed it yourself with the questions patients really ask, such as parking, whether you need a doctor's referral, or home visit charges, and answer them clearly. Check it regularly so a stranger's wrong answer does not sit there for months.
Common reasons profiles get suspended
- Keywords added to the business name
- A virtual office or co-working desk used as the address
- Multiple profiles for the same business at one location
- Editing the address repeatedly in a short time
- Reviews that look bought or self-written
If you are suspended, fix the cause before you request reinstatement, and have documents ready such as a utility bill, a shop photo with the signboard and your registration certificate.
Link the profile and the website properly
Add your website URL with UTM tags so you can see profile traffic separately in analytics. Make sure the landing page shows the same name, address and phone number as the profile. For a single-location business the homepage is usually right. For a multi-branch business, link each profile to its own location page.
A profile also benefits from the authority of the site it points to. A clinic website with a few good local links, from a hospital it partners with or a sports club it supports, tends to make the listing stronger too. If you are unsure where your site stands, our guide on how to check backlink quality explains what to look at.
A one-hour checklist
Open your profile and do these in order: confirm the primary category against your top three competitors, add every service with a description, upload ten real photos, set holiday hours for the next three months, and write answers to five common questions. Then send your review link to the last ten satisfied customers.
